The job offer letter template that gets a fast yes (5 examples)
You've spent weeks finding the right person, and the offer is where you win or lose them. A slow, vague, or clumsy offer plants doubt at the worst possible moment, while a clear, confident one closes the deal. The offer letter is the document that makes it real, so it's worth getting right.
Here's what a strong offer letter includes, then five templates you can adapt.
What every offer letter needs
Whatever the role, a good offer letter is clear and complete. Include these:
- Job title and a one-line summary of the role
- Compensation: base salary, plus any bonus, commission, or equity
- Start date
- Work model and location: remote, hybrid, or onsite
- Who they'll report to
- Employment type: full-time, part-time, or contract
- Key benefits, with full details to follow
- Any conditions, like reference or background checks
- A response deadline, a reasonable window to decide
- A warm closing that says you're glad they're joining
Send it the same day you decide. Every day an offer sits in a draft is a day a competitor can move first.

Send the offer from one place
The offer stage has moving parts, and losing track of any of them slows you down at the worst moment. In KalosHR, you send offer letters with compensation and start date directly from the platform, move the candidate to the offer stage, and keep a full record of every step alongside the rest of their history. Nothing falls through the gap between the final interview and day one.
Make the offer fast, make it clear, and make the person feel wanted. That's how weeks of hiring work turn into a signed yes.
