These Terms of Service ("Terms") govern your access to and use of the KalosHR website, application, employer careers pages hosted at kaloshr.com/{company}, and related services (together, the "Service"). The Service is operated by Kalos Technologies Ltd, registered in the United Kingdom, with its registered address at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom ("KalosHR", "we", "us", "our").
By creating an account, posting a job, applying to a job, or otherwise using the Service, you agree to these Terms. If you're using the Service for an organization, you agree to these Terms on that organization's behalf and confirm you have authority to bind it. If you don't agree, don't use the Service.
These Terms work alongside our Privacy Policy, which explains how we handle personal data. Where the two documents overlap, both apply.
1. Definitions
- Employer means any person or organization that uses the Service to post jobs, review applications, or manage hiring. This includes recruiters, staffing agencies, and hiring teams.
- Candidate or Job Seeker means any person who applies to a job or submits information through the Service.
- Job Post means any job, role, or opportunity published through the Service.
- Content means anything uploaded, posted, or transmitted through the Service, including Job Posts, application questions, careers page text, messages, and files.
- External Job Boards means third-party job boards, recruitment platforms, social media platforms, partner websites, or any other external distribution channels to which an Employer chooses to publish a Job Post using the Service.
2. Who can use KalosHR
You must be at least 18 years old to use the Service. By using it, you confirm you meet this requirement and that the information you give us is accurate and current. We may refuse, suspend, or terminate accounts at our discretion, as described in Section 12.
3. Your account
You create an account by registering and verifying your identity through a one-time code. You're responsible for your account, for keeping your credentials secure, and for all activity that happens under it. Tell us at support@kaloshr.com if you suspect unauthorized use.
Keep your account information accurate. We rely on it to run the Service, deliver applications to the right employer, and communicate with you about billing and security.
4. Plans, billing, and renewals
Free accounts. New employers get a free account automatically on sign-up. A free account can create one active Job Post. To post more, you upgrade to a paid plan.
Paid plans. Paid plans (starting with the Starter plan) unlock additional posting and features described at checkout. By subscribing, you authorize us and our payment provider to charge your payment method for the plan you choose.
Renewals. Paid plans renew automatically at the end of each billing cycle at the then-current price, unless you cancel before the cycle ends. You can cancel anytime from your account; cancellation takes effect at the end of the current paid period.
Payments. We process payments through a third-party provider (for example, Stripe). We don't store full card numbers. You're responsible for any taxes that apply to your subscription.
Refunds. Fees are non-refundable except where required by law or stated otherwise in writing. Downgrading or cancelling doesn't entitle you to a refund for the current period.
Price changes. We may change plan prices. We'll give you notice before a change affects your renewals, and the new price applies from your next billing cycle.
5. Your licence to use the Service
We grant you a limited, non-exclusive, non-transferable, revocable licence to use the Service for your own lawful hiring or job-seeking purposes, subject to these Terms. You don't get any other rights. You can't resell, sublicense, or provide the Service to third parties except as the Service is designed to allow.
6. Job posting standards
Job Posts are the heart of the Service, and their quality protects every Job Seeker who uses it. When you publish a Job Post, you agree it meets every standard below. We built these standards to keep KalosHR free of vague, misleading, predatory, and fraudulent listings, and we enforce them.
Post real, current, paying jobs. Every Job Post must be a genuine, open role that pays the person hired. Post only positions your organization is actually hiring for and is authorized to advertise. Don't post placeholder listings, expired roles, or anything that isn't a real job.
Be accurate and complete. Describe the role honestly and in enough detail that a Job Seeker understands what the job is, where it's based, and what it involves. We don't allow deceptive, generic, or missing information. Fill in the responsibilities, requirements, and location; don't pad the post with company marketing that hides what the role actually is.
Never charge Job Seekers. Job Seekers must never have to pay to apply, to be considered, or to start work. Don't require application fees, deposits, paid training, equipment purchases, or any other cost to the candidate as a condition of the job. Charging people to apply or work is a sign of predatory or fraudulent hiring, and we remove it.
Write clear, honest titles. Use a job title that names the role plainly. Avoid vague titles like "sales" or "technician" on their own, hype words like "rockstar" or "ninja", clickbait, and special characters (%$#@!). The title should tell a Job Seeker what the job is, not sell them on it.
Give a full location. State where the job is based. If it's remote or hybrid, say so and name the region or country. If we can't tell where the job is, and where the distribution partner can't either, the post may not appear.
Don't location-blast. Don't post the same role across many cities to widen its reach artificially. If you're genuinely hiring for the same position in several places, create a separate, accurate Job Post for each location.
Don't discriminate. Don't exclude or screen out Job Seekers based on characteristics that don't affect their ability to do the job or the success of the hire, such as race, ethnicity, gender, religion, age, disability, marital status, or other protected characteristics under applicable law. We remove Job Posts that discriminate.
Keep it professional. Don't post content that's vulgar, offensive, sexually explicit, hateful, or otherwise inappropriate. The Service is a professional hiring tool, and Content that exposes users to that material violates these Terms.
7. Jobs and content we don't allow
The following aren't permitted on the Service, whether as a Job Post or other Content:
- Roles that require any fee, payment, or purchase from the applicant to apply or begin work.
- Multi-level marketing, pyramid schemes, or commission-only "opportunities" dressed up as jobs.
- Franchise, business, or investment opportunities rather than employment.
- Training, education, or certification offers presented as jobs.
- Posts that solicit Job Seekers for something other than a real job (for example, recruiting them into another platform or scheme).
- Expired, filled, or fictitious roles.
- Fraudulent, scam, phishing, or "money mule" listings, or any post designed to harvest personal or financial information under the guise of hiring.
- Content that's illegal, infringes someone's rights, contains malware, or violates the privacy of others.
Unpaid roles are allowed only where the law permits and the role clearly offers academic credit or a lawful equivalent, stated plainly in the post.
8. Publishing Jobs to External Platforms
When you choose to publish a Job Post through KalosHR, you may distribute it to one or more third-party job boards, career platforms, social media channels, partner websites, or your own careers page.
KalosHR acts only as the publishing platform. We do not own, control, or operate these external platforms and cannot guarantee that every Job Post will be accepted, published, or remain visible.
Each external platform applies its own review process, publication schedule, eligibility requirements, moderation policies, and terms of service. As a result:
- publication may be delayed;
- a Job Post may be rejected or removed;
- visibility may vary between platforms;
- certain industries or job types may have additional requirements.
Some external distribution partners may apply additional eligibility or verification requirements before publishing certain job listings. KalosHR has no control over these requirements.
Employers remain responsible for ensuring that every Job Post complies with applicable laws and the policies of any platform where it is published.
KalosHR may suspend or disable distribution to any external platform at any time where required for compliance, technical, commercial, or operational reasons.
9. Our right to review, reject, and remove
We may review any Content, but we're not obligated to. We may reject, edit, hide, or remove any Job Post or other Content, and we may suspend or disable any account, at our discretion, including where we believe Content breaks these Terms, harms Job Seekers, or risks the integrity of the Service.
We may take these steps for any reason or no reason, with or without notice. We can't always explain why we removed a post or account, and we're not required to. We always retain the right to act where we believe it's in the interest of our users or the Service. Repeated or serious violations can lead to permanent termination without a refund.
10. Employer responsibilities
If you post jobs or handle applications, you're responsible for:
- The accuracy, legality, and content of your Job Posts and messages.
- Complying with all employment, anti-discrimination, advertising, and data protection laws that apply to your hiring.
- How you use candidate data. For candidate applications, you're the data controller and we're your processor, as set out in the Privacy Policy. Use candidate data only for the role they applied to, keep it secure, and honor candidates' data rights.
- Any hiring decisions you make. Our ATS match score is a tool that assists your review; it doesn't make hiring decisions, and you remain responsible for yours.
11. Candidate responsibilities
If you apply to a job, you agree to give accurate information and to apply only to genuine roles you're interested in. You understand that your application, including your CV, answers, and contact details, goes to the employer whose job you applied to, and that the employer controls that data. You should never pay a fee to apply through the Service; if an employer asks you to, stop and report it to support@kaloshr.com.
12. Suspension and termination
You can stop using the Service and close your account at any time. We may suspend or terminate your access, remove your Content, and disable your account if you breach these Terms, if we're required to by law, or if we reasonably believe it's necessary to protect the Service or its users.
On termination, your licence to use the Service ends. Sections that by their nature should survive, including those on Content ownership, disclaimers, liability, indemnity, and governing law, continue to apply. We handle data after termination as described in the Privacy Policy.
13. Intellectual property
The Service, including its software, design, and branding, belongs to KalosHR and its licensors and is protected by law. These Terms don't transfer any of our intellectual property to you.
You keep ownership of the Content you post. By posting it, you grant us a worldwide, non-exclusive, royalty-free licence to host, store, display, reproduce, and distribute that Content as needed to operate and promote the Service, including sending Job Posts to External Job Boards you select. You confirm you have the rights to grant this licence and that your Content doesn't infringe anyone else's rights.
14. Acceptable use of the platform
Don't misuse the Service. In particular, don't:
- Scrape, crawl, or harvest data from the Service except as we expressly allow.
- Interfere with, overload, or try to break the Service or its security.
- Access accounts, data, or areas you're not authorized to.
- Upload malware or use the Service to send spam or unlawful messages.
- Use the Service to build or train a competing product, or resell access to it.
- Impersonate anyone, or misrepresent who you are or who you're posting on behalf of.
15. Third-party services
The Service works with third-party providers, including payment processing, analytics, advertising, email delivery, and External Job Boards. Their services are governed by their own terms and policies, and we're not responsible for them. Links to third-party sites are provided for convenience and don't imply our endorsement.
16. Disclaimers
The Service is provided "as is" and "as available." To the fullest extent the law allows, we disclaim all warranties, express or implied, including fitness for a particular purpose and non-infringement.
We don't vet employers or candidates beyond the standards in these Terms, and we don't guarantee the identity, legitimacy, conduct, or quality of any user. We don't guarantee that a Job Post will lead to a hire, that an application will lead to a job, or that any Job Post will appear on a third-party site. You deal with other users at your own risk, and you should use your own judgment before sharing information, accepting an offer, or making a hiring decision.
17. Limitation of liability
To the fullest extent the law allows, KalosHR won't be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, data, or goodwill, arising from your use of the Service.
Our total liability for any claim relating to the Service is limited to the greater of the amount you paid us in the three months before the claim arose, or £500. Some jurisdictions don't allow certain limitations, so parts of this section may not apply to you.
18. Indemnification
You agree to indemnify and hold KalosHR harmless from claims, losses, and expenses (including reasonable legal fees) arising from your Content, your use of the Service, your breach of these Terms, or your violation of any law or third-party right, including a Job Seeker's or employer's rights.
19. Changes to the Service and these Terms
We may change, suspend, or discontinue parts of the Service as the product evolves. We may also update these Terms. When changes are material, we'll announce them on the site or by email and update the "Last updated" date. If you keep using the Service after the changes take effect, you accept the updated Terms. If you don't agree, stop using the Service.
20. Governing law and disputes
These Terms are governed by the laws of England and Wales, without regard to conflict-of-law rules. You and KalosHR agree to the exclusive jurisdiction of the courts of England and Wales for any dispute that isn't resolved informally first. Before starting a formal claim, contact us at support@kaloshr.com so we can try to resolve the issue.
21. General
- Entire agreement. These Terms and the Privacy Policy are the whole agreement between you and KalosHR about the Service, and replace any earlier agreements on the same subject.
- Severability. If any part of these Terms is found unenforceable, the rest stays in effect.
- No waiver. If we don't enforce a right, that isn't a waiver of it.
- Assignment. You can't assign these Terms without our consent. We may assign them to an affiliate or successor, for example in a merger or sale.
- Force majeure. We're not liable for delays or failures caused by events beyond our reasonable control.
- Notices. We may send notices to the email on your account. Send notices relating to these Terms to support@kaloshr.com.
